Job Title: Clinic / Practice Assistant IIPay Rate: $20.00 – $30.00 / hour (commensurate with experience)Location: 100% Onsite at Yawkey (Boston, MA)Position Type: Full-Time 3 month contract (Temp-to-Hire)Schedule: Monday – Friday, 8:15 AM – 4:45 PM (Flexible start times available between 8:00 AM and 8:30 AM)
Position Summary
We are seeking a detail-oriented and reliable Clinic / Practice Assistant II to join our healthcare team. In this role, you will perform essential administrative and clerical functions under general supervision to ensure smooth, efficient daily operations within our clinical service or physician practice office. Serving as a key operational anchor, you will oversee patient appointments, manage front-desk reception, process billing forms, and serve as a systems "Super User" for scheduling and registration.
Qualifications & Requirements
- Education: High School Diploma or GED equivalent required.
- Experience: 2 to 3 years of administrative or office experience required (prior medical or clinical office experience strongly preferred).
- Licensing/Certifications: Certified Medical Administrative Assistant (CMAA) certification preferred.
- Technical Proficiency: strong computer skills, including proficiency in Microsoft Office Suite, electronic medical records (EMR/LMR) platforms, and multi-line telephone systems.
- Communication Skills: Excellent written and verbal communication skills with the ability to convey information clearly, take complete messages, and interact professionally with patients, providers, and staff.
- Organization & Time Management: strong organizational skills with demonstrated ability to prioritize multiple routine and non-routine tasks, follow established clinical protocols, and manage time effectively.

Responsibilities
- Patient Coordination & Reception: Greet arriving patients, answer multi-line telephone systems, respond to routine inquiries, schedule appointments, and manage check-in/check-out procedures.
- Administrative Operations: Maintain accurate appointment schedules, file materials in patient folders, print daily schedules, and open/distribute unit mail and faxes.
- Medical & Clinical Records Support: Request patient medical records and laboratory test results, scan documents into patient medical records (LMR), and handle/screen messages regarding prior authorizations, provider questions, prescription refills, and test results.
- Billing & Financial Processing: Process patient billing forms, accept and record co-payments, and assist with routine front-office financial documentation.
- Systems Leadership & Advanced Support: Serve as a "Super User" for scheduling, registration, and billing systems, providing guidance and training to team members. Perform specialized administrative tasks, such as surgical scheduling and calendar blocking, as needed.
- Office Correspondence: Draft, format, and edit routine forms, schedules, records, memos, and professional emails as directed.
