Position Overview
Greentown Labs is seeking a highly motivated and organized Front Desk Coordinator to play a critical role in the daily operations of our Somerville, MA campus. As the first point of contact for our 140+ Boston startups, visitors, and vendors, you will set the tone for the entire Greentown experience.
Reporting to the Senior Director of Facilities, you will act as “mission control” for the lobby—blending high-level hospitality with essential facility coordinator and administrative support. The ideal candidate is a confident, professional individual who thrives in a visible, public-facing role and operates with the urgent optimism required to support a fast-paced community of entrepreneurs.
What You'll Do

Premier Reception & Hospitality: Provide a professional and confident welcome to all visitors, members, and guests; manage the visitor sign-in system; monitor foot traffic; and triage phone calls to the appropriate team members.

Operational Logistics: Manage all incoming and outgoing correspondence, including daily mail, packages, and complex freight deliveries; coordinate visitor parking reservations; and manage front-desk supply inventory.

Campus Security & Access: Maintain and administer building access using the AXIS security system, ensuring the safety and integrity of the incubator.

Space Stewardship: Ensure the front-of-house and event spaces are professional, welcoming, and organized; operate AV systems for lobby displays and support other teams utilizing common spaces.

Internal Communications: Act as a communication hub by supporting the operations team with member-facing messaging via signage, email, and the company intranet.

Administrative Support: Assist in scheduling and contacting vendors for facility needs; maintain up-to-date front-desk policies and procedures.

Knowledge Sharing: Train interns and team members on front-desk protocols to ensure seamless backup coverage for the department.

Qualifications

Bachelor’s degree or an equivalent combination of education and experience.

2+ years of customer service experience in a high-traffic environment such as hospitality, co-working, or corporate reception.

Technical proficiency with myriad tools such as security systems, Slack, Microsoft Office, etc. and the ability to quickly master new software systems.

High level of professionalism and strong interpersonal skills, both written and verbal, as the role requires high visibility.

Experience with de-escalation techniques and a calm demeanor is a plus.

Experience working in a startup environment or with mission-driven organizations is a significant plus.

Familiarity with the climatetech industry is a plus.
General Physical Demands

Communication: Regularly required to communicate with others in person, via phone, and virtually/electronically.

Stationary Work: Requires a consistent in-person presence at the front desk for the majority of the workday, with prolonged periods working on a computer.

Mobility: Regularly moving around the office to interact with colleagues, members, visitors, and vendors.

Physical Demands: Ability to lift or move items such as mail or packages up to 25 lbs., using proper lifting techniques.
Additional Considerations

Travel: Occasional travel may be required to attend off-site events or conferences.

Late Hours: Ability to work some evening hours, typically once per week, to support on-site community events.
Work Location and Schedule

This role does not permit a hybrid work-from-home or fully remote schedule due to the nature of the key responsibilities and duties expected to be performed. A consistent in-person presence at the front desk during peak business hours is required.

Our standard business hours are 9:00 a.m. - 5:30 p.m. Availability to work a weekly Monday through Friday, 9:00 a.m. - 5:30 p.m. schedule is a must.

Compensation and Benefits

Compensation for this position begins at $60,000.00/year and is commensurate with experience.
