About the Role
Our client, a leader in the legal industry, is seeking a highly organized and detail-oriented Legal Assistant to join their Litigation Department with a focus on Intellectual Property (IP). This role provides comprehensive administrative and legal support to multiple attorneys, ensuring efficient daily operations and exceptional client service.
The ideal candidate will possess strong calendar management, document preparation, and billing coordination skills, along with the ability to handle sensitive information with discretion. Required Skills & Qualifications
- High School Diploma required; Bachelor’s degree preferred.
- 5+ years of legal assistant experience, preferably in Intellectual Property Litigation.
- Proficiency in Microsoft Office Suite (Word, Outlook, PowerPoint), PACER, 3E, and other relevant legal software.
- Demonstrated ability to balance client service excellence with high productivity.
- Physical ability to lift boxes and move files when needed.
Key Responsibilities
- Provide administrative support to attorneys, including calendar management, travel coordination, meeting scheduling, and maintenance of contact lists.
- Prepare and edit legal documents, correspondence, memos, reports, and presentations using firm-approved formats.
- Manage electronic filing and maintain organized case files in accordance with attorney preferences.
- Submit attorney time entries via 3E billing system; review and revise monthly client billing statements in collaboration with the billing department.
- Serve as the primary point of contact for routine inquiries from internal and external clients, ensuring prompt and professional communication.
- Coordinate trial preparation logistics, including reserving court reporters, arranging travel, securing offsite workspaces, and overseeing technology setup.
- Maintain knowledge of legal terminology, court filing rules, and IP-specific procedures.
- Assist with marketing contact management and collaborate with other departments such as marketing and client accounting.
- Support teamwork and knowledge sharing across the firm; assist with onboarding new team members.
- Participate in professional development through firm-sponsored training and self-directed learning.
