Job Title- Workplace Expereince Coordinator
Shift Times: M-F: 8AM-5PM-(1 hour lunch) or 8:30-5 (30 min lunch).
Location- Lexington, MA 02421
Summary:
- This position is responsible to support and coordinate activities related to delivery of workplace experience services for clients, where offered, including administrative support for teams managing and directing services. Services may be directly performed by the company, or third-party service providers in collaboration with this position.
- Looking for someone with good customer service skills who can handle some pressure, keeping things confidential and ensuring that they can communicate well with me and the workplace services team.
Daily Responsibilities:
Welcoming client and guests, customer service and client facing attitude
Assisting with front desk, reservations, vendor escorting, ID/badge administration
Receiving and shipping packages
Pantry stocking
Printers operating and set up
Assisting in any office changes, coordination
Work order management/submission- based on building maintenance requests
Open to constructive feedback and situational adaptability needed based on manager advisement Dealing with problem solving in situations and being solution driven
Must Haves- Required Qualifications
High School Diploma or GED with up to 2 years of job-related experience.
Ability to follow basic work routines and standards in the application of work.
Communication skills to exchange straightforward information.
Working knowledge of Microsoft Office products. Examples include Word, Excel, Outlook, etc.
Strong organizational skills with an inquisitive mindset.
A minimum of 1 - 2 years related experience (e.g. Front Desk, Concierge, Hospitality, Room Management, or Customer Service roles) is preferred
Restaurant/Hotel-hospitality experience
Core Responsibilities:
- Greet visitors, issue passes, and follow security procedures.
- Act as the first point of contact for workplace service inquiries.
- Coordinate and support conference rooms, events, and AV needs.
- Handle onboarding for employees and service providers.
- Manage office services: mail, supplies, food, janitorial, and maintenance.
- Support invoice processing, travel bookings, and expense reports.
- Organize on-site events and meeting setups.
- Assist with moves, adds, changes (MAC) and furniture resets.
- Maintain vendor relationships and contract compliance.
- Ensure databases and digital tools are accurate and updated.
- Respond to employee complaints and provide customer service solutions.
- Contribute to business continuity planning.
Administrative & Technical Skills:
- Use Microsoft Office (Word, Excel, Outlook, SharePoint, etc.).
- Manage documents and SharePoint sites.
- Track and process service billings.
- Provide general admin support to leadership.
- Interpersonal & Communication Skills:
- Communicate clearly with employees, guests, and vendors.
- Comfortable engaging with new people; friendly and approachable.
- Present to groups and create routine reports.
- Other Requirements:
- Basic financial and problem-solving skills.
- Willingness to lift up to 50 lbs and assist with warehouse tasks.
- Adaptability to new tech tools and digital platforms.
- Strong service mindset with a collaborative attitude.
