Job Description

Job DescriptionWe are looking for a dynamic and customer-focused Facilities Coordinator to join our team on a Contract basis in Boston, Massachusetts. This role involves supporting the Facilities Manager in ensuring smooth operations across multiple floors, including overseeing maintenance, vendor coordination, and customer satisfaction initiatives. You’ll play a vital part in creating a welcoming and efficient environment for clients and staff while contributing to the success of events and daily operations.

Responsibilities:
• Assist the Facilities Manager in overseeing property maintenance and repair services to ensure seamless operations.
• Coordinate vendor services, including scheduling and escorting vendors during site visits.
• Conduct regular site inspections to identify issues and create resolution tickets.
• Support the planning and execution of monthly and quarterly client events.
• Respond to emergency situations and manage on-call duties as the primary point of contact when required.
• Foster positive relationships with property occupants and ensure high levels of customer satisfaction.
• Monitor and report on Key Performance Indicators (KPIs) to identify areas for improvement.
• Collaborate with the team to implement best practices and innovative solutions for facility management.
• Ensure compliance with established procedures and protocols, including incident reporting and escalation.
• Promote teamwork and a customer-first approach within the facilities management team.• Proven experience in facilities coordination or a similar role.
• Strong interpersonal skills with a customer-focused mindset.
• Ability to manage multiple tasks effectively, including planning and organizing events.
• Familiarity with vendor management and procurement processes.
• Excellent problem-solving skills and ability to handle emergency situations.
• Proficiency in reporting and tracking tools for monitoring operations and KPIs.
• Demonstrated ability to collaborate with teams and stakeholders.
• Knowledge of best practices in facilities management and property maintenance.
