Registrar of Enrollment and Transportation


POSITION SUMMARY The Registrar of Enrollment and Transportation oversees all aspects of student enrollment, recruitment and transportation. They will direct the admissions process from inquiry through enrollment and the first day of school. The Registrar will lead a collaborative effort to develop and implement both short term and long-term recruitment strategies to ensure The Conservatory Lab Charter School meets enrollment objectives.

The ideal candidate will be a data driven decision maker, an experienced admission and transportation professional, and a creative leader in admission, recruitment and retention.

The Registrar should be a team player who has a warm collaborative nature, positive energy, sense of humor, possess superior organization and prioritization skills and is self-motivated in the completion of his/her work. She/he will have exceptional communication and interpersonal skills including outstanding writing and public speaking skills and the ability to interact comfortably with a variety of people. This person will have a genuine empathy for prospective families and an awareness of the needs and sensitivities of parents, students, faculty, staff and administrators and ultimately be able to manage expectations and deliver admissions decisions in a manner that is honest, caring, and diplomatic.


Admissions:

  • Develop and lead inclusive outreach efforts to draw diverse families to the school and ensure that CLCS continues to enroll students who both thrive as part of the school community and in turn contribute to the community as a whole.

  • Responsible for insuring DESE reporting requirements are adhered to including, but not limited to SIMS, EPIMS, Civil Rights

  • Represent CLCS and serve as the face of the school and broader community and with prospective families while communicating the mission.

  • Engage and inform prospective parents and students about CLCS and the benefits of a CLCS education during individual, small, and large group meetings.

  • Inspire the community to actively participate in admissions events including; individual and group tours, student shadow visits, curricular information sessions, student observations/testing/interview, parent to parent connections, and individual family conversations.

  • Lead and develop a communications plan with prospective families to move them from inquiry to enrollment.

  • Oversee and participate in the development of admissions materials, events and marketing practices.

  • Coordinate systematic and efficient handling of applications and communications with parents of student applicants so that the process supports and honors the student and their family.

  • Manage parent and student expectations and deliver admissions decisions in a manner that is consistent with MA General Laws governing Charter schools.

  • Oversee the lottery process for new students

  • Lead student retention efforts with the school administration.

Operations

  • Assist administration with the preparation of reports and student data information.

  • Prepare and distribute student identification cards, bus passes, and parking stickers.

  • Maintain confidentiality of information.

Transportation Liaison/Operations

  • Serve as the point of contact with BPS transportation and insure all necessary information is timely provided to BPS for routing purposes

  • Work with the BPS transportation dept to update routes and assign routes to students on an as need basis

  • Update transportation system with new, current and past student info

  • Work with BPS dept of transportation to provide them with accurate current and new student enrollment

  • Coordinate transportation for field trips and extra curricular activities

  • Coordinate with the front office to develop an accurate dismissal process.

Student Records

  • Maintain physical and computerized records including student demographic information, cumulative folders, progress and failure reports, class rosters, schedule changes, and grade books.

  • Assist in processing new student records, including requesting transcripts and records from other schools, setting up cumulative folders, and entering student data into appropriate databases.

  • Manage the enrollment, withdrawals, and transfer of students and process applicable records.

Other responsibilities as assigned by the School Co Leaders and their designee

Qualifications


Preferred:

  • Prior Admissions/ Enrollment /Registrar experience

  • Bachelor’s degree

  • Bilingual - Spanish, Cape Verdean Creole, Haitian Creole


Knowledge, Skills, and Abilities:

  • Superior presentation ability and interpersonal skills, including excellent written and oral communication skills.

  • Must be organized and detail-oriented.

  • Ability to complete tasks in a detailed and timely manner.

  • Proficient with word processing software and presentation software.

  • Proficient with excel software and google sheets to manipulate data efficiently

  • Ability to work with people from diverse backgrounds.

  • Ability to work independently and meet deadlines.

  • Ability to work well with others in a team atmosphere.
