Job DescriptionWe are looking for a dedicated Legal Assistant to join our team in Waltham, Massachusetts. In this role, you will act as a key liaison between the Legal Department and various internal and external stakeholders, ensuring smooth communication and efficient handling of legal matters. This position offers an opportunity to contribute to the organization by managing legal documentation, supporting compliance initiatives, and assisting with litigation processes.

Responsibilities:
• Maintain and update templates for residency agreements across Assisted Living Residences, Nursing Homes, and CCRCs.
• Ensure Disclosure Statements for CCRCs and ALRs are accurate and comply with regulatory requirements or organizational changes.
• Review and respond to requests for medical records, verifying accuracy and confidentiality of privileged information.
• Assist in-house counsel in creating and delivering training materials on legal topics, including compliance and residency agreements.
• Prepare and manage contract templates for use with vendors and third-party entities.
• Support transaction due diligence processes as needed, ensuring thorough documentation and compliance.
• Collaborate with attorneys and external counsel on litigation and subpoena matters, including document production and discovery.
• Coordinate and oversee logistics for legal holds related to potential or ongoing litigation.
• Perform administrative tasks, including maintaining litigation tracking tools and managing claim files.
• Monitor communications with the corporate registered agent and ensure filings are up-to-date.• Bachelor’s degree from an accredited institution.
• Minimum of 3 years of experience in a legal office or working with regulatory agencies.
• Proficiency in office software such as Microsoft Word, Excel, SharePoint, Adobe, and other relevant tools.
• Strong organizational skills, including experience in calendar management and contract administration.
• Familiarity with HIPAA regulations and ability to handle sensitive information responsibly.
• Knowledge and experience in due diligence processes.
• Self-motivated and capable of working independently while collaborating across multiple departments.
• Excellent communication and problem-solving skills to interact effectively with diverse stakeholders.
