Sigma, Inc. is looking for a Residency & Fellowship Program Coordinator to work onsite with Beth Israel Lahey Health Hospital in Boston, MA.

Schedule:

  • Monday – Friday, 8:30 AM – 5:00 PM
  • Must be separated from BILH for a min of 6 months in order to be considered (perm, per diem, contract).

Sigma, Inc. is seeking a highly organized Residency & Fellowship Program Coordinator to support the Pulmonary Department at Beth Israel Deaconess Medical Center. This role provides administrative, scheduling, and onboarding support to students, trainees, and fellows within a busy academic medical environment.

Key ResponsibilitiesProgram & Trainee Support

  • Coordinate onboarding for residents, fellows, and visiting students
  • Maintain trainee documentation and evaluations in MedHub
  • Assist with compliance, credentialing, and orientation workflows

Scheduling & Event Planning

  • Manage calendars, meetings, conferences, and educational sessions
  • Schedule luncheons, academic activities, and department events
  • Set up, monitor, and troubleshoot Zoom and Teams meetings

Administrative & Department Support

  • Support program directors, faculty, and educational staff
  • Manage correspondence, schedules, and trainee communication
  • Utilize EPIC for administrative functions involving scheduling
  • Handle phone calls, emails, and stakeholder inquiries professionally

Data, Tracking & Reporting

  • Maintain accurate trainee records and schedules
  • Generate reports and update databases as needed
  • Ensure confidentiality and accuracy of sensitive educational data

Required Qualifications

  • Experience supporting residency, fellowship, or medical education programs
  • Proficiency with MedHub, Zoom, Microsoft Teams, and Microsoft Office
  • EPIC experience required
  • Strong administrative and scheduling skills
  • Excellent communication skills, both written and verbal
  • Ability to plan meetings, organize luncheons, and coordinate events
  • Must have been separated from BILH for at least 6 months
