Spare Parts Manager Job Description

Position Overview:
The Spare Parts Manager will manage spare parts inventory, coordinate shipments, and support the Field Service Engineers (FSE) to ensure smooth operations. This includes receiving, logging, and tracking spare parts and End-of-Arm Tooling (EoAT), as well as maintaining accurate documentation and inventory records.

Key Responsibilities:

  • Package Handling:

    • Retrieve packages containing spare parts or refurbished EoATs from the designated UPS store.
    • Deliver collected items to the site and update inventory records.
  • Inventory Management:

    • Log and track all incoming and outgoing inventory, including parts pulled for night shift requests.
    • Ensure accurate documentation in inventory systems, including ticket/Qualtrics details for each part.
    • Collaborate with the FSE team to maintain updated records of spares usage.
  • Spares Delivery:

    • Provide spare parts to FSEs as needed, ensuring requests are properly documented and associated with tickets.
  • Issue Tracking and Reporting:

    • Maintain and update issue trackers with details like serial numbers, timestamps, and ticket links.
    • Compile daily reports of spares usage and share them with the appropriate email distribution list.
  • Shipping Management:

    • Prepare items for shipment, including defective parts and EoATs needing refurbishment.
    • Ensure proper packaging and documentation, including serial numbers, tickets, and shipping details.
    • Coordinate shipments using the designated UPS account and address.
  • Inventory Updates:

    • Keep inventory systems updated with the status and location of all parts and EoATs.
    • Mark defective items as "In Transit" and ensure they are shipped to the correct refurbishment or storage facility.

Qualifications:

  • Strong organizational and record-keeping skills.
  • Experience with inventory tracking systems and ticketing platforms (e.g., Qualtrics, Archer).
  • Familiarity with shipping logistics and processes.
  • Effective communication and collaboration skills.

Work Location:
The role is based in Wilmington, NC, with tasks involving coordination between the UPS store and the site inventory locations.

Additional Notes:
The Spare Parts Manager will ensure adherence to processes, address any discrepancies in inventory or documentation, and provide proactive support to the FSE team to maintain operational efficiency.
