About the Role

We are seeking an experienced Practice Administrator to help develop the practice while overseeing the daily administrative and business operations of our healthcare practice. Reporting to the Managing Partner and Board of Physicians, you will drive quality improvement, staff performance, and fiscal growth, while ensuring compliance and fostering a collaborative team environment.

Responsibilities

  • Set and implement goals, policies, and systems for clinic operations
  • Provide strategic direction and collaborate with the Board of Physicians
  • Coordinate with external consultants on contracts, acquisitions, and joint ventures
  • Assist in recruiting new medical providers
  • Monitor regulatory, social, and economic changes in ophthalmology and recommend actions
  • Stay current on Medicaid, Medicare, and relevant legislation
  • Manage all clinic, office, and business activities
  • Oversee financial reporting, accounting (QuickBooks), budgets, and payroll
  • Manage revenue cycle and payer contracts
  • Oversee HR functions, including compensation, benefits, and payroll
  • Participate in staff selection, supervision, evaluation, and disciplinary actions
  • Resolve administrative and operational issues, including property maintenance and lease negotiations
  • Ensure proper use and maintenance of EMR and software systems
  • Oversee technology upgrades and data security
  • Ensure compliance with HIPAA, HITECH, and other regulations
  • Maintain relationships with suppliers, payors, and partners
  • Monitor inventories of medications and equipment
  • Gather and report data for fiscal and statistical analysis
  • Perform other duties and special projects as assigned

Qualifications

  • Bachelor’s degree in healthcare or business administration (MBA/MHA preferred)
  • Minimum 7 years of progressive leadership experience, including 5 years in healthcare administration (ophthalmology experience preferred but not required)
  • In-depth knowledge of medical/administrative practice management
  • Strong HR management, recruitment, and training background
  • Skills in marketing, financial analysis, budgeting, and accounting
  • Excellent communication, leadership, and problem-solving abilities
  • Knowledge of practice management software, IT, and healthcare compliance
  • Experience with revenue cycle improvement and insurance payors
  • Experience negotiating leases and managing vendor relationships

  • Excellent communication and transparency with staff and management

  • Proficiency in Google Office Suite, Microsoft Office, and relevant business software

Work Environment

  • Medical office setting, well-lit and ventilated
  • Occasional evening and weekend work
  • Must be able to perform tasks associated with the role, including walking, bending, standing, reaching, and sitting
