Position Summary

We are seeking a highly organized, strong communicator and well-rounded Front Desk Executive Administrative Assistant to be the welcoming face of DOC and keep our Milford office running smoothly! Are you looking for a role that incorporates office administration, executive admin and event planning - this role might be for you.

Executive and Team Support

  • Assist with scheduling and calendar management for our President, Joubin Hassanein, who sits in the Milford office and travels regularly.
  • Support administrative tasks such as travel coordination and contract management (creation, amendments, execution).
  • Assist with office and company-wide event planning, in collaboration with the Marketing Team, such as retirements, holiday parties, Women in Construction ERG (Employee Resource Group) events.
  • Manage data within marketing systems.

Front Desk Administration

  • Serve as the first point of contact at the Milford, MA office, greeting visitors and answering phone calls (low volume).
  • Perform light office management duties such as ordering food and supplies, maintaining office upkeep.
  • Handle mail and deliveries, including notification and distribution.
  • Coordinate with the cleaning crew and manage vendor relationships (e.g., copy machine, supplies).
  • Communicate with property management and coordinate office-wide communications (events, fire drills, etc.).
  • Order food for meetings and events.

Qualifications:

  • Strong organizational and multitasking skills.
  • Excellent communication and interpersonal abilities.
  • Experience working with executive calendars and administrative management.
  • Proficiency in scheduling and handling administrative tasks is important.
  • Interest or experience in event planning.
  • Ability to manage multiple projects and meet deadlines.
  • Familiarity with data management and marketing systems.
  • Ideally proficient in Microsoft Office Suite and contract management.

$50,000-$70,000 based on experience
