SCHEDULE
On-site
Monday-Friday (40 hrs per week)
CONTRACT TERM
5-month contract with high likelihood of extension or conversion to full time employee.
RESPONSIBILITIES
Prepare Execution Packet Requests – prepare outgoing and process incoming mailings.
QC/QA of lease or other real property agreement for content and accuracy of such.
Process signed documents - Ensure proper execution for internal and external parties.
Preparation of real property agreements and associated documents.
Filing and maintaining land records and real property agreements.
Maintaining applicable portions of spreadsheet, Archibus and Quorum information.
Record/file real property agreements in land registries.
Prepare Check Requests.
Coordinate the maintenance and organization of electronic files for various types of property records and the tracking of the information using the Archibus tool.
Coordinate, participate and review in the processing of lease payments to landowners.
Coordinate the integration of new projects into the real estate department including but, not limited to, gathering and reviewing documentation received and reviewing the setup of the information into the Archibus tool.
Work closely with other departments within the organization including, but not limited to, Facilities, Engineering and Construction, Legal, Accounting and Treasury.
Basic office administration duties as related to Real Estate functions
Reading and interpreting lease agreements (rent terms, escalations, clauses)
Tracking critical dates (renewals, expirations, options)
Abstracting key lease terms into databases or systems
Rent calculations (base rent, percentage rate, escalations)
CAM (Common Area Maintenance) and operating expense reconciliations
Budget tracking and variance analysis
Understanding of NPV, cash flow, and lease economics (especially in corporate real estate)
Managing lease management systems (e.g., MRI, Yardi, SAP RE, CoStar)
Maintaining accurate lease databases
Strong Excel skills (pivot tables, formulas, reconciliation models)
Ensuring accuracy of lease abstracts, payments, and reports
Identifying discrepancies in billing or lease terms
Compliance tracking (insurance, obligations, deadlines)
