Assistant Property Services Manager

Boston, Massachusetts

About the firm

Our client is a long-established Northeast general contractor with more than thirty-five years building in the region. Their work runs from luxury urban residences and fine suburban custom homes through to large, technically complex institutional and commercial projects. They build new, and they convert, renovate and restore.

This role sits in the firm's Property Services Division. Where most builders hand over the keys and move on, Property Services looks after homes the firm already has a relationship with, diagnosing and resolving building issues, running renovations and smaller custom projects, and staying in front of the homeowner throughout. It is a division built on long client relationships and not one-off jobs.

The role

You help run a portfolio of luxury single-family homes, working alongside the Senior Services Manager. You take ownership of client properties, lead onsite service visits, and direct field staff and trade partners. The work splits three ways: managing the properties themselves, pricing and controlling the money on repairs and smaller improvement projects, and holding the client relationship. There is a stated path toward a Property Services Manager role.

Responsibilities

  • Manage an assigned portfolio of client homes with guidance from the Senior Services Manager.
  • Develop and oversee preventive maintenance plans for home systems and finishes.
  • Plan and schedule work across field staff and vendors, consolidating visits to minimize disruption to homeowners.
  • Lead onsite service calls and property walkthroughs, diagnose building issues and recommend solutions.
  • Direct field staff and subcontractors on site, ensuring quality, safety and timely completion.
  • Escalate complex issues to senior management with a clear recommendation.
  • Prepare scopes of work and estimates for repairs, deferred maintenance and smaller improvement projects.
  • Solicit and review subcontractor and vendor pricing, and review work orders and billing before client invoicing.
  • Track costs against budget for assigned properties.
  • Serve as a primary point of contact for assigned clients, providing regular updates on work in progress.
  • Keep work orders, property records and home procedures complete and current.

What we are looking for

The first three are requirements. The rest are preferences.

  • Three to five years in residential construction, property management or luxury building maintenance.
  • Direct client-facing experience, having owned the homeowner relationship yourself and led service visits and walkthroughs.
  • Hands-on knowledge of building systems and trades, including HVAC, electrical, plumbing, carpentry, high-end finishes and the exterior envelope, with direct experience troubleshooting problems in finished homes.
  • Able to read and interpret construction documents, plans, and operating and maintenance manuals.
  • Experience preparing scopes of work or estimates.
  • Microsoft Office. Construction software such as Procore or Sage/Timberline is a plus, not a requirement.
  • The ability and the appetite to deliver white-glove, concierge-level client service.
  • Confident enough in writing and in person to lead conversations with clients and trade partners.
  • Organized across multiple properties with priorities that shift frequently.
  • Sound judgment about when to act independently and when to escalate.
  • Based in or relocating to the Greater Boston area.
