Student and Academic Affairs Coordinator

Part-Time (Hybrid) | 20–25 hours per weekCompensation: $20 - $22 per hour

Boston Islamic Seminary (BIS) seeks a highly organized, detail-oriented, mission-driven Student and Academic Affairs Coordinator to support the administration of BIS's academic programs and student services.

The Coordinator will serve as an important point of contact for current and prospective students while working closely with BIS leadership, faculty, and staff. Responsibilities include managing student records and communications, supporting admissions and student onboarding, coordinating academic programs and schedules, assisting with faculty and student activities, and administering student financial matters, including tuition and scholarships.

The ideal candidate is proactive, dependable, professional, and able to manage multiple priorities independently while working effectively in a collaborative, mission-driven environment.

Key ResponsibilitiesStudent & Academic Affairs

  • Maintain accurate and confidential student records, including enrollment and related documentation.
  • Serve as a primary administrative point of contact for current and prospective students, responding to inquiries in a timely and professional manner.
  • Assist with student recruitment efforts, including outreach to prospective students, recruitment communications, information sessions, and follow-up with prospective applicants.
  • Help develop and maintain relationships with prospective students and support efforts to increase enrollment in BIS programs.
  • Assist with admissions, applicant communications, interviews, onboarding, registration, and orientation.
  • Coordinate academic schedules, courses, workshops, seminars, and other academic programming.
  • Work closely with faculty on course-related administrative needs, schedules, deadlines, attendance, and communications.
  • Monitor academic calendars and deadlines and ensure timely communication with students and faculty.
  • Support student activities, events, orientations, and other student engagement initiatives.

Tuition & Scholarship Administration

  • Assist with tracking student tuition accounts, payments, balances, and payment arrangements.
  • Maintain accurate scholarship records and assist with the administration and communication of scholarship awards.
  • Follow up with students regarding tuition, scholarships, deadlines, and required documentation.
  • Maintain confidentiality when handling student financial information.

Administrative & Project Support

  • Provide project management and administrative support for BIS educational initiatives and institutional projects.
  • Coordinate logistics for faculty programming, student activities, retreats, workshops, and other events.
  • Maintain organized digital files, calendars, records, and administrative documentation.
  • Assist with reports, data collection, and other academic or institutional reporting needs.
  • Facilitate effective communication and coordination among BIS leadership, faculty, staff, students, and other stakeholders.
  • Identify opportunities to improve administrative processes and the student experience.
  • Perform other duties as assigned by BIS leadership.

Qualifications

  • Bachelor's degree required.
  • 1–3 years of experience working with college students in higher education, student services, administration, nonprofit organizations, or a customer-service environment.
  • Prior experience in higher education and/or nonprofit organizations strongly preferred.
  • Excellent written and verbal communication skills.
  • Strong organizational skills and exceptional attention to detail.
  • Ability to manage multiple priorities, meet deadlines, and work independently with minimal supervision.
  • Strong interpersonal skills and ability to work effectively with diverse individuals and personalities.
  • Professionalism, discretion, sound judgment, and commitment to confidentiality.
  • Proficiency with Google Workspace, including Google Docs, Sheets, Drive, Calendar, and Gmail.
  • Experience with Learning Management Systems or student information systems preferred; Populi experience is a plus.
  • Self-motivated, dependable, adaptable, and committed to producing high-quality work.
  • Familiarity with or appreciation for BIS's mission and Muslim religious leadership education is preferred.
