Hours: Part time (30 hours) Monday through Friday, 10:00 AM to 4:00 PM, flexible to accommodate occasional weekend needs for artist receptions
Salary and Benefits: $20-25/hour based on experience; 2 weeks of PTO (increases with tenure) plus major holidays; employee funded health insurance and 401k plan available
Responsibilities:
o Manage master calendar/schedule for all events and rehearsals
o Update patron, enrollment and donor databases
o Provide administrative support for fundraising, gallery, theater and academy
initiatives (with primary support for the gallery)
o Answer and direct phone calls, manage voice mail and email message
inquires
o Greet and assist walk-in patrons during working hours
o Maintain and update physical and digital filing systems
o Track and replenish office supplies
o Track and schedule building maintenance and equipment contracts; get
bids for new contracts upon renewal; contact vendors for repairs
o Prepare reports and spreadsheets as requested
o Proofread and print materials as requested
o Plan and assist donor and artist events
o Manage smaller donor mailings done in house
o Light facility maintenance as required (empty trashes, straighten kitchen,
vacuum lobby)
Qualifications:
• Proven success in office administration and customer service
• Superb written and verbal communications skills
• Detail oriented with outstanding organizational skills and ability to anticipate
organizational needs
• Strong proficiency with computer applications and databases, especially Google
Workspace and Microsoft Office; confident problem solver and quick learner of new
software
• Strong time management abilities
• Organized, independent worker and confident decision maker
• Proven ability to maintain confidentiality and use discretion
• Experience in non-profit along with interest in the arts a plus
• Physical requirements: navigating stairs, sitting, crouching, kneeling, reaching
About Us: The Mass Arts Center, a non-profit arts organization, is seeking an Office
Administrator to support day-to-day operations by providing administrative office management duties. Responsible for the daily operations of the office that support all three segments of the Center’s operation: the theater, the academy and the gallery. The position reports to the Executive Director.
Our ideal candidate will be able to competently oversee daily office operations to ensure efficiency and organization, will be flexible to adapt to emergent needs, and will have the interpersonal skills to make a positive impression on patrons and families and interact professionally with colleagues.
