Casey Lundregan Burns, P.C., a steadily expanding law firm in downtown Salem, MA, is seeking a full-time Billing Coordinator to provide essential financial services and operational support to the Director of Business Services.
\n
\n
The ideal candidate has strong numerical literacy and genuinely enjoys working with data, solving numerical puzzles, and keeping operational workflows organized. They will divide their time between financial services support (~75%) and broader business operations support (~25%).
\n
\n
We are seeking a proactive self-starter who is detail-oriented, thrives in a fast-paced environment, enjoys workplace collaboration, and is comfortable navigating competing priorities. Professionalism, strict confidentiality, flexibility, exceptional time management, and steady reliability are critical to success in this position.

Schedule: Monday - Friday, 8:00 a.m. - 5:00 p.m. (with a one-hour lunch)
\n
Note: Qualified part-time candidates will be considered.

Location: Downtown Salem, MA. This is an in-office position without hybrid potential.
\n
\n

Key Responsibilities
\n
\n

- Support the monthly client billing cycle by reviewing and editing attorney time entries for both narrative and numerical accuracy.
- Process vendor invoices, reconcile receipts against expenses, and ensure all billable client costs are accurately captured.
- Support client receivables and account management by processing invoice and retainer payments, researching payment histories, and providing client billing updates.
- Efficiently execute special projects and ad hoc financial reporting requests with high accuracy and quick turnaround.
- Support general administrative duties including event planning and execution, answering phone calls, vendor coordination, inventory/supply management, and maintaining office readiness.

Qualifications & Skills

- (Preferred) 1-3 years of experience in finance, billing, legal administration, or general business operations
- Intermediate proficiency in Excel (formulas, data review, pivot tables, formatting large spreadsheets), Word, and Outlook.
- Strong numerical aptitude with high attention to detail when proofreading documents and verifying financial figures.
- Proven ability to manage multiple priorities, meet strict deadlines, and work independently with minimal supervision.
- Strong verbal and written communication skills.
- Strict commitment to confidentiality.
- Self-starter with a positive attitude and willingness to assist team members.
- Bachelor’s degree preferred.
