Part Time Events Manager
Our client, a leading institution within the higher education sector, is seeking a dynamic and seasoned Events Manager. This pivotal role involves strategizing, coordinating, and executing events that elevate the institution's reputation and foster meaningful engagement with stakeholders.
Compensation:
40-55/r
Responsibilities:
- Spearhead venue and vendor negotiations, ensuring optimal arrangements for all major events at the school and institute level.
- Design and coordinate event logistics, including site inspections, floor plans, staffing, and catering, to guarantee smooth execution.
- Develop strategic plans for recurring events such as student advisory group meetings, managing membership and ensuring effective meeting facilitation.
- Collaborate with the development team to conceptualize and deliver faculty and donor engagement events, such as symposia, luncheons, and campus visits.
- Build and maintain relationships with vendors, venues, and internal stakeholders to develop innovative and cost-effective event solutions.
- Lead negotiations, supervise onsite activities, and ensure vendors comply with contractual obligations.
- Craft detailed timelines and action plans for each event, prioritizing tasks to meet organizational goals and deadlines.
- Oversee budgets, track expenses, and process payments in adherence to institutional policies.
- Coordinate with communications teams to promote upcoming events effectively and ensure clear communication with all participants.
- Troubleshoot issues that arise during events, making quick decisions to mitigate disruptions.
- Prepare briefing materials and manage logistics related to travel and accommodations for VIP guests.
Requirements:
- Bachelor's degree in hospitality, event management, or a related field.
- Minimum of 5 years of experience in events management, ideally within higher education or nonprofit environments.
- Proven ability to independently lead complex projects while collaborating effectively with teams and stakeholders.
- Outstanding customer service and communication skills, both written and verbal.
- Proficiency in reservation management software, Excel, and Microsoft Office 365 suite.
- Physical ability to lift up to 30 pounds and perform other physical tasks related to event setup and breakdown.
- Flexibility to work evenings and weekends as required by event schedules.
