Event & Experience Coordinator - The Lady Bea

The Lady Bea is looking for a highly organized, creative, energetic Event & Experience Coordinator to help take our events to the next level.

We are not looking for someone who simply schedules events. We want someone who is constantly thinking ahead, bringing new ideas to the table, creating experiences people are excited to attend, and making sure every detail is handled from the initial idea through the day of the event.
\n
From themed cruises and live entertainment to brunches, specialty tastings, seasonal events, private celebrations, and completely new concepts we haven’t tried yet — we want someone who is ready to think outside the box and help make the Lady Bea a destination for unique experiences on the Connecticut River.

What You’ll Do

- \n
- Plan, coordinate, and execute Lady Bea specialty cruises, events, and experiences
- Develop creative, unique event concepts that go beyond the typical or expected
- Build an event calendar and plan ahead for upcoming months and seasons
- Research trends, holidays, entertainment ideas, partnerships, and opportunities for new events
- Coordinate entertainers, DJs, vendors, instructors, caterers, photographers, and other event partners
- Communicate professionally and consistently with vendors, staff, customers, and management
- Create detailed event plans so everyone knows what is happening before the event begins
- Determine staffing needs for each event and make sure appropriate staff members are scheduled
- Confirm entertainment, food, beverages, supplies, decorations, equipment, and other event needs in advance
- Be on-site for events to oversee setup, execution, guest experience, and cleanup
- Troubleshoot problems quickly and confidently when plans change
- Work closely with the Lady Bea captains, bartenders, crew, marina staff, and management
- Help ensure events are promoted far enough in advance to give them the best opportunity to sell out
- Keep track of event details, deadlines, costs, attendance, and what worked well for future planning
- Continuously look for ways to improve the Lady Bea guest experience

- Can stay calm and find solutions when something unexpected happens
- Is available for evenings, weekends, and event days as needed
- Understands that successful events require preparation well before guests arrive

Experience
\n
Event planning, hospitality, tourism, entertainment, restaurant, wedding, marketing, or customer-service experience is preferred, but we are also interested in candidates who can demonstrate exceptional organization, creativity, communication, and leadership.
\n
Experience coordinating staff, vendors, entertainment, or large groups is a plus.
\n

About the Lady Bea
\n
The Lady Bea is a 49-passenger cruise boat located at Brunelle’s Marina in South Hadley, Massachusetts. Throughout the season, we host public sightseeing cruises, private charters, entertainment cruises, brunches, specialty events, seasonal experiences, and more on the Connecticut River.

Our goal is simple: give people a reason to come aboard — and an experience they'll want to tell their friends about.
