Administrator - Electronics machinery manufacturer
Job Description
A global electronics machinery manufacturer are seeking an Administrator to support communication and coordination between our headquarters in Japan and our branch office in Andover, MA. Japanese Bilingual skill will be a good asset but not mandatory. This role is essential for ensuring smooth business operations, accurate information flow, and high-quality customer support for both internal and external stakeholders. his position will start as part-time and may transition to a full-time role for the right candidate.
Administrator Responsibilities:
- Serve as the primary communication bridge between the Japan headquarters and the MA branch, ensuring timely and accurate information exchange.
- Provide customer service support to clients, handling inquiries, order processing, and product information.
- Prepare and respond to Requests for Quotations, Purchase Orders, Invoices and Shipping Documents.
- Coordinate with internal engineering, sales, and logistics teams to resolve customer issues and meet delivery or service requirements.
- Support preparation of reports, presentations, and documentation for management and cross-functional teams.
- Maintain customer records, update databases, and assist in tracking ongoing projects and service requests.
- Assist with administrative tasks and cross-department communication to ensure smooth daily operations.
- Other duties as assigned
Administrator Requirements:
- Previous experience in a customer service role, preferably in the machinery industry proffered.
- Familiar with Japanese culture or language is a big asset but not mandatory.
- Proficiency with standard office software (Microsoft Office Suite, email systems, etc.).
- Strong communication and interpersonal skills with the ability to work in a multicultural environment.
- Excellent organizational skills, attention to detail, and ability to manage multiple tasks simultaneously.
- Ability to collaborate effectively with teams across different time zones.
