ABOUT THE ROLE
\n
We're looking for a detail-driven Operations & Compliance Coordinator to keep the documentation engine of our projects running smoothly. This role sits at the intersection of regulatory compliance, project administration, and back-office support — owning hazardous waste manifest and transportation records, maintaining health and safety documentation, reconciling payroll (including certified/prevailing-wage jobs), and partnering with project managers in HubSpot to keep project data accurate and current.

WHAT YOU'LL DO

- \n
- Prepare, track, and reconcile hazardous waste manifests, including EPA e-Manifest/RCRAInfo submissions
- Maintain DOT shipping papers, driver qualification files, and vehicle records
- Maintain OSHA injury/illness records and track employee training/certification status (HAZWOPER, confined space, DOT/hazmat, CDL, first aid/CPR)
- Reconcile timesheets and payroll, including certified/prevailing-wage and Davis-Bacon payroll
- Partner with project managers to keep deals and project records current in HubSpot
- Track certificates of insurance, subcontractor/vendor compliance documents, and permit renewals
- Support Senior Project Managers on small-scale emergency response projects as a Junior PM, including invoicing support and field-to-office coordination

WHAT WE'RE LOOKING FOR
\n
- \n
- 2+ years in administrative, compliance, or operations support (environmental services, construction, transportation, or another regulated industry preferred)
- Strong organizational skills and attention to detail; comfortable managing multiple recurring deadlines
- Proficiency with Microsoft Office, especially Excel
- Clear written and verbal communication; discretion with sensitive payroll and compliance data
- Familiarity with hazardous waste manifesting, RCRA, DOT, and/or OSHA recordkeeping a plus
- Experience with EPA e-Manifest/RCRAInfo, certified/prevailing-wage payroll, or HubSpot a plus
- Working knowledge of MassDEP and/or NHDES requirements a plus
