We are looking for a detail-oriented Executive Assistant to provide critical administrative support within a dynamic healthcare environment. This contract-to-permanent position is based in Lawrence, Massachusetts, and offers an excellent opportunity to contribute to academic and research initiatives while honing organizational and communication skills. The ideal candidate will bring a background in administration or healthcare, with strong proficiency in data management and research coordination.
MUST BE BILINGUAL IN SPANISH
Responsibilities:
• Act as the primary liaison with medical schools across the country to manage student elective rotations, including applications, acceptances, and communication.
• Organize and maintain residency data required for accreditation, evaluations, and scholarly activity reports.
• Provide administrative assistance to residency leadership, including supporting the Research and Medical Student Directors.
• Coordinate research-related tasks such as grant writing, manuscript preparation, and conference submissions, while overseeing research assistants.
• Ensure smooth execution of weekly faculty meetings by preparing necessary materials, arranging breakfasts, and setting up literature.
• Manage calendars, book travel arrangements, and coordinate executive meetings to streamline operations.
• Utilize advanced functions and formulas in Excel for daily data management tasks.
• Work independently with minimal supervision, demonstrating professionalism and attention to detail.
• Collaborate with team members to maintain workflow efficiency and address program needs.
• Bachelor’s degree with at least three years of administrative experience, preferably in an academic or healthcare setting.
• Strong organizational skills and the ability to handle multiple tasks independently.
• Proficiency in Microsoft Excel, including advanced functions and formulas.
• Experience with calendar management, travel arrangements, and executive meeting coordination.
• Ability to effectively communicate and liaise with stakeholders in academic and healthcare environments.
• Exposure to research administration or data management is highly desirable.
• Flexibility to work onsite one day a week for faculty meeting preparations.
• Detail-oriented approach and ability to adapt to dynamic team requirements.
