Position Summary
Resourcesoft is seeking a detail-oriented and organized Recruiting and Sales

Support Analyst to support daily recruiting, vendor management, sales support, and business documentation activities for their clients.
The successful candidate will manage job requirements, review candidate submissions, monitor Applicant Tracking System (ATS) and Vendor Management System (VMS) activity, administer vendor documentation, and support time-sensitive business initiatives. This position requires strong analytical, communication, research, prioritization, and data-management skills.

Key Responsibilities
Recruiting Operations

  • Participate in daily recruiting meetings to review new job assignments, urgent requirements, and questions regarding open positions.
  • Enter new client requirements from VMS portals into the company’s ATS and distribute them to the appropriate recruiting teams.
  • Monitor active job requirements and alert recruitment leads to positions approaching submission deadlines or closing dates.
  • Reconcile active postings across the ATS and external employment platforms and promptly remove closed or expired positions.
  • Review internal candidate submissions for accuracy, completeness, and compliance with client requirements.
  • Approve qualified submissions for delivery to clients, return incomplete submissions for correction, or reject submissions with clear and specific feedback.
  • Coordinate interview requests and confirm availability with candidates, recruiters, and other stakeholders.
  • Update candidate submission, interview, rejection, and placement statuses in the appropriate ATS or VMS.


VMS and Job-Order Management

  • Monitor multiple client VMS portals for new requirements, status changes, interview requests, candidate rejections, and closing notices.
  • Maintain accurate and timely job and candidate information across the ATS and applicable VMS portals.
  • Track client requirements that are not automatically integrated with the company’s ATS.
  • Prepare daily reports identifying urgent and rapidly closing positions to help recruiting teams prioritize their work.
  • Escalate system discrepancies, missed deadlines, or unresolved client actions to the appropriate recruiting or account-management lead.

Vendor Agreement Administration

  • Distribute relevant vendor communications and operational updates to recruiting and business teams.
  • Confirm that required Master Service Agreements and related vendor documents are available and properly completed.
  • Coordinate the issuance of new agreements through approved electronic-signature applications.
  • Track agreement status, follow up on pending signatures, and maintain organized vendor records.
  • Prepare and distribute approved vendor communications using mail-merge or other designated communication tools.


Sales and Business Documentation Support

  • Assist the sales and leadership teams with time-sensitive client requests, business documents, presentations, questionnaires, and related submissions.
  • Research approved company systems and digital workspaces to locate relevant legal, financial, organizational, operational, and past-performance information.
  • Compile and organize existing company information into accurate, consistent, and professionally formatted business documents.
  • Maintain task checklists, documentation requirements, internal responsibilities, and submission deadlines.
  • Coordinate with internal departments to obtain required information, supporting materials, reviews, and approvals.
  • Review completed documents for accuracy, consistency, completeness, formatting, and adherence to client instructions.
  • Support additional recruiting, sales, compliance, and business-development projects as assigned.


Required Qualifications

  • Bachelor’s degree in Business Administration, Legal Studies, Finance, Human Resources, Communications, or a related field; equivalent relevant experience may be considered.
  • One to two years of experience in recruiting operations, sales support, business administration, legal administration, financial operations, or a related function.
  • Experience using an ATS, recruiting database, VMS, or comparable business platform.
  • Ability to research, evaluate, organize, and summarize legal, financial, organizational, and operational information.
  • Experience maintaining active job postings across multiple employment platforms.
  • Proficiency in Microsoft Excel, Word, PowerPoint, Outlook, and other business-productivity applications.
  • Strong written and verbal communication skills.
  • Excellent attention to detail and ability to provide clear, actionable feedback.
  • Ability to prioritize urgent assignments and complete work within strict deadlines.
  • Ability to manage confidential candidate, vendor, client, and company information responsibly.
  • Ability to work full-time on-site at Resourcesoft’s Marlborough, Massachusetts office.


Preferred Qualifications

  • Experience in IT staffing, technology consulting, government contracting, or professional services.
  • Experience preparing client-facing business documents, presentations, questionnaires, or formal submissions.
  • Experience with electronic-signature applications, mail-merge tools, and vendor agreement workflows.
  • Experience coordinating interviews and communicating with recruiters, candidates, vendors, clients, and account managers.
  • Familiarity with MSA administration and vendor-document management.

Work Schedule and Location
This is a full-time, on-site position at Resourcesoft, Inc.’s Marlborough, Massachusetts office. Occasional schedule flexibility may be required to support client deadlines, interviews, or other time-sensitive business activities.
