Job DescriptionExecutive Assistant
Our Boston-based client is seeking a highly skilled and dependable Executive Assistant to support their CEO. The ideal candidate for this role must have strong experience with calendar management, scheduling, travel arrangements, and expenses, is a confident and motivated self-starter with excellent organizational and communication skills, has a sense of urgency and can work well under pressure.
Compensation: $110K-$140K*
*Potential offers vary based on experience level, qualifications

Responsibilities:
- Drive the CEO’s calendar, aligning priorities, managing conflicts, and adapting swiftly to changes.
- Collaborate with leadership to ensure efficient meeting scheduling, preparation, and follow-up.
- Act as a primary point of contact for internal teams and external partners, exercising sound judgment and discretion.
- Draft and manage communication, triaging requests and ensuring timely, professional exchanges.
- Organize materials, agendas, and logistics for Board meetings and executive events.
- Coordinate travel arrangements, including flights, accommodations, transportation, and last-minute changes for domestic and international trips.
- Oversee travel expenses, invoices, purchase orders, and prepare detailed expense reports.
- Plan, coordinate, and execute high-visibility events such as leadership offsites and key stakeholder meetings.
- Maintain confidentiality and discretion when handling sensitive company, personnel, and Board information.
Qualifications:
- Bachelor’s degree preferred.
- 8-10 years of experience providing Executive/Senior administrative support
- Past experience within technology start up companies with IPO presence
- Demonstrated expertise in managing complex calendars, travel logistics, and confidential information.
- Strong organizational capabilities, able to navigate ambiguity and shifting priorities.
- Excellent communication skills, with the ability to interact confidently with executives, Board members, and external partners.
- Proven composure and professionalism under pressure, with solution-oriented thinking.
- Proficiency in MS Office Suite, Google Suite, MS Team/Zoom and travel management tools.
