We’re partnering with a growing and well-established service-focused organization to hire a highly organized and proactive Service Administrator to support daily operations within a fast-paced Service Department. Key Responsibilities of the Service Administrator:
- Provide day-to-day administrative support to the Service Department and Service Manager
- Create and manage work orders while coordinating technician schedules for efficient service delivery
- Handle incoming phone calls, emails, and service-related communications in a timely and professional manner
- Process billing and assist with maintaining accurate Accounts Receivable records and reporting
- Organize, file, and maintain service documentation and compliance-related records
- Update customer portals and websites with accurate service and billing information
- Assist with tracking service activity, job progress, and departmental workflow
- Identify opportunities to improve administrative processes and help implement more efficient procedures
- Support internal coordination between technicians, customers, and office staff to ensure smooth operations
Qualifications of the Service Administrator:
- Previous experience in an administrative, office support, or service coordination role required
- Service Department or dispatching experience is a strong plus
- Proficiency with Microsoft Office and general office systems/equipment
- Strong organizational skills with the ability to manage multiple priorities effectively
- close attention to detail and the ability to handle confidential information professionally
- Strong communication and customer service skills
- Analytical mindset with solid problem-solving abilities
- Accounts Receivable or billing experience is a plus
- High school diploma or equivalent required; additional education or certifications are a plus
