Job DescriptionWe are looking for an experienced Workflow Coordinator to support an office in Boston, Massachusetts through a Long-term Contract assignment. This position blends front-desk hospitality with administrative service support, making it ideal for someone who is comfortable in a client-facing environment and takes pride in delivering an organized, high-touch experience. The role works closely with office leadership and meeting hosts to ensure visitors, employees, and conference spaces are supported efficiently throughout the day.
Responsibilities:
• Welcome visitors and employees at the front desk, answer incoming calls, and provide a courteous first point of contact for the office.
• Prepare conference rooms for meetings by arranging materials, confirming room readiness, and ensuring spaces are presented appropriately.
• Support meeting logistics by coordinating basic setup needs and placing food or refreshments when requested.
• Assist with document handling tasks such as scanning, printing, and related office support activities using standard business equipment.
• Monitor shared office areas and help maintain a smooth day-to-day experience aligned with a service-focused workplace.
• Partner with remote management and onsite support contacts to learn procedures, follow service expectations, and adapt to office needs.
• Provide occasional early-morning assistance for scheduled events or depositions when advance notice is given.
• Contribute flexible administrative support as the office continues to build and refine local service operations.• Prior experience in a receptionist, front desk, or similar customer-facing office support role is preferred.
• Strong interpersonal skills and the ability to represent the office effectively.
• Proven ability to deliver attentive customer service in a corporate or high-end business environment.
• Comfort using office technology, including multi-line phone systems, printers, scanners, and document handling equipment.
• Familiarity with Xerox or HP printers is preferred, along with basic confidence troubleshooting routine print or scan tasks.
• Strong organizational skills, reliability, and the ability to manage multiple support duties during a standard Monday through Friday schedule.
• Willingness to follow a business casual dress standard appropriate for an office setting.
