Overview

We are adding a vital administrative and financial anchor to our internal operations group. Reporting directly to the Accounting Manager, this dual-function role balances day-to-day clerical office coordination with essential ledger maintenance and transaction verification. We are looking for an adaptable professional who thrives in a multitasking environment and wants to grow alongside our infrastructure.

Daily Workflows

  • Billing Verification: Review transactional data and outgoing documentation for absolute accuracy against client agreements and institutional guidelines.

  • Inbound Transaction Matching: Verify incoming funds and record daily receipts against outstanding client balances, meticulously researching any variance or unexpected deviations.

  • Complex Account Auditing: Deconstruct intricate client billing frameworks, identifying systemic discrepancies and partnering with regional staff to correct administrative errors.

  • Client Portfolio Communication: Monitor account life cycles and maintain courteous, relationship-driven outreach to corporate partners to ensure timely balances.

  • Data Compilation & Systems Management: Leverage enterprise software systems and advanced spreadsheets to organize tracking sheets, aging records, and operational summaries for management review.

  • Cross-Functional Operations Support: Provide administrative backup to departmental heads, facilitating communication across corporate divisions and helping manage physical office workflows.

Operational Benchmarks

  • Background: 24+ months of practical experience handling transactional records, corporate billing, or ledger reconciliation.

  • Spreadsheet Literacy: Deep familiarity with data management in spreadsheets, including data sorting, lookups, and summarizing datasets.

  • Analytical Aptitude: High attention to detail with an ability to parse multi-layered contracts and complex account histories.

  • Interpersonal Skills: Professional written and verbal communication style suitable for B2B client management.

Preferred Technical Exposure

  • Familiarity with major enterprise resource planning (ERP) platforms or modern cloud-based corporate suites.

  • Prior experience operating in consumer-facing services, multi-unit retail, or guest services environments is highly advantageous.
