Group Sales Coordinator and Museum Teacher


Position Overview
The USS Constitution Museum seeks a highly organized, customer-focused professional to serve as the Group Sales Coordinator and Museum Teacher. The ideal candidate will bring exceptional customer service and communication skills, strong judgment, problem-solving ability, an interest in museum education, and a positive, team-oriented approach.


This is a part-time, 19 hours/week position. Ideally on-site 5 days/week, but there is some flexibility.

We provide a hands-on, minds-on environment where inter-generational groups seeking an enjoyable, educational experience can have fun and learn as they explore history together. This approach ensures that the stories of USS Constitution and those who shaped her history are never forgotten, always remain relevant, and inspire as many people as possible.


Key Responsibilities

Group Reservations & Customer Service

  • Serve as the primary contact and ambassador for all group visit inquiries, providing accurate and timely information on pricing, programs, tours, and booking processes.
  • Manage all phone, email, and form submissions related to group visits; prepare confirmations, invoices, and related materials.
  • Schedule group visits, tours, and programs in FileMaker and Outlook and ensure that internal calendars are consistently updated.
  • Maintain accurate records of bookings, payments, grant-funded visits, and group details.
  • Report on reservation trends, needs, and customer feedback.

Coordination & Communication

  • Coordinate logistics for group visits, including rotation schedules and communication with partners (e.g., Navy contacts, buses, educators, and virtual platforms).
  • Keep senior management informed of VIP or high-needs groups.
  • Greet groups and provide on-site support as the schedule allows.

Education & Program Support

  • Facilitate museum education programs and support departmental initiatives.
  • Promote program options to school, youth, and adult groups and assist with education outreach.
  • Maintain current knowledge of exhibitions, programs, and offerings to effectively represent the Museum.

Process & Systems

  • Manage the full lifecycle of group orders, including invoicing and payment collection, with accuracy and care.
  • Identify opportunities to improve booking processes, communication workflows, and visitor experience.

Qualifications

  • Excellent customer service skills.
  • Experience in education preferred.
  • Strong written and verbal communication skills; ability to communicate professionally and diplomatically.
  • Ability to work independently and collaboratively within a team.
  • Highly organized, detail-oriented, and able to manage multiple tasks simultaneously.
  • Proficiency with Microsoft Office Suite; familiarity with FileMaker preferred.
