Our client based in Sudbury, MA is looking for an Administrative Assistant to cover for a medical leave for a 35 hour/week position. This would be a Mon-Fri in-office role between standard business hours. The client is looking to interview someone this week and get them start at some point week and this is projected to be at least a few month long engagement with the possibility of going permanent should the person not come back from the medical leave. The ideal candidate will provide essential support across various office functions, ensuring smooth daily operations. This role requires excellent communication skills, proficiency with office management tools, and the ability to handle multiple tasks efficiently. The position would sit at the front desk of the facility.
Responsibilities Include:
- Manage front desk duties, including greeting visitors and handling multi-line phone systems with professionalism and courtesy
- Perform data entry, filing, and document proofreading to maintain accurate records
- Assist with calendar management and appointment setting for staff and clients
- Support office management tasks such as supply ordering, record keeping, and organization of files
- Provide exceptional customer service by addressing inquiries via phone or email promptly and courteously
- Handle bookkeeping tasks using QuickBooks or similar software as needed would be a job function if the position goes permanent down the road
- Maintain office etiquette standards including proper phone etiquette and professional communication
Requirements
- Proven experience in office administration or clerical roles, preferably in medical or dental reception settings
- Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, Outlook)
- Familiarity with QuickBooks, bookkeeping, and office management software is preferred
- Excellent organizational skills with the ability to multitask effectively in a fast-paced environment
- Strong typing skills and attention to detail for proofreading and document
- Exceptional customer service skills with professional phone etiquette and support experience
