The Program Assistant will be responsible for administratively supporting one or more established Harvard programs that serve faculty, staff, students or executive education participants. Provides customer service to those directly served by the program as well as key clients or institutional stakeholders such as employers and corporations, research sponsors, alumni groups, government agencies, community groups, professional and scholarly societies, peer institutions and nonprofits. Responsibilities may include answering phones, providing customer service, maintaining program related data on spreadsheets, preparing program materials such as handouts, binders, nametags, and table tents. Obtains copyright permission for materials. Edits and proofreads documents. Assists with classroom and meeting room set up including AV and catering. Supports special events which may occasionally entail working early or late hours with appropriate overtime compensation.

Provides administrative and clerical support for program registration, admissions and program assessment by tabulating program evaluations and preparing summary reports. Assists with processing continuing education credits. Produces meeting or conference notes upon request. Runs errands when necessary and performs other job related duties as required to support program.

Key skills including high attention to detail, excellent oral and written communication skills essential, quick learner, ability to multitask and handle multiple priorities under strict deadlines and a fast paced environment, intermediate or better proficiency in Microsoft Office (Word, Excel, PowerPoint) and databases. Knowledge of A/V equipment helpful. Customer service orientation essential. Some heavy lifting of program materials and classroom supplies may be required.

Our team plays a key role in delivering Harvard Division of Continuing Education’s Professional & Executive Development (P&ED) programs. As a Program Facilitator (PF), you provide technical facilitation to participants, instructors, teaching assistants, and guest speakers, in both online and on-campus settings, ensuring a smooth learning experience by managing virtual and physical classroom environments.
For online programs, this includes managing the Zoom platform — overseeing the waiting room, sharing files and videos, running polls, and managing breakout rooms — while delivering prompt real-time support. For on-campus programs, it involves setting up classroom environments by configuring equipment based on instructor preferences; facilitating technology-dependent activities such as polling; and providing prompt real-time support as needed.
Key Qualities:
A successful PF possesses a keen understanding and appreciation of the P&ED classroom culture. As a member of the P&ED Program Technology team, they are professional, punctual, and reliable, maintaining focus and attentiveness throughout a program session. In this innovative, participant experience-driven environment, comfort with technology is essential, particularly with the Zoom platform, Slack, Google Workspace and/or MS Office. This role requires clear and concise communication skills, both written and verbal, along with the ability to quickly adapt to procedural changes in a dynamic environment. Strong multitasking skills and independent problem-solving are crucial, as participants, instructors, and guests may feel uncertain or unfamiliar with the technology and will rely on the PF for support.
Job Specific Responsibilities
● The position is on-site at our Harvard Square location.
● Shifts are typically 4-7 hours per day, Monday through Friday.
● All shifts fall within program hours of 7:00 a.m. to 5:30 p.m.; specific schedule to be determined with the manager.
● Must be available to work 10-14 hours per week, usually two to three days per week.
● Weekly schedules may vary based on program volume.
● Professional dress and conduct are required.
Basic Qualifications
● Proficient user of Zoom, Google Workspace (Docs, Slides, Sheets), MS Office (Word, Excel, PowerPoint, etc.), and Slack, or similar software tools.
● Ability to quickly learn and adapt to new applications and technologies.
● Ability to communicate clearly and concisely in person and in writing.
● Strong customer service orientation.
● Attention to detail, punctuality, reliability, flexibility, and ability to work autonomously.
