Job Description
We are representing an private medical practice in their search for a high-caliber Executive Assistant. This is a dual-faceted role designed for a proactive professional who thrives on providing seamless, high-touch support to leadership while ensuring the internal machinery of a premier clinical environment runs with absolute precision.
This is a full-time, 5 day onsite opportunity based in the Waltham area, offering the opportunity to be the central point of contact for an amazing team.
Responsibilities:
- Act as the primary gatekeeper and strategic partner to executive leadership, managing intricate professional calendars and anticipating needs before they arise.
- Draft, edit, and proofread sophisticated correspondence, presentations, and reports, ensuring all external and internal communication reflects the firm’s prestige.
- Lead special projects and initiatives on behalf of the leadership team, tracking milestones and ensuring timely execution of strategic goals.
- Oversee daily office operations to maintain a world-class environment, managing vendor relationships, supply procurement, and facility logistics.
- Serve as the internal lead for HR functions, including facilitating the onboarding/offboarding process, maintaining confidential personnel records, and supporting culture-building initiatives.
- Continually evaluate and refine administrative workflows and office policies to enhance operational efficiency and patient-service excellence.
Qualifications:
- A minimum of 7–10 years of experience supporting C-Suite executives, preferably within life sciences, boutique professional services, or high-end healthcare.
- Proven ability to manage "back-office" functions (HR, facilities, or basic finance) with high attention to detail.
- Exceptional interpersonal skills with the ability to interface gracefully with high-profile patients, stakeholders, and internal staff.
- An unwavering commitment to maintaining the highest levels of confidentiality and data security regarding both patient information and firm operations.
- A preference for a collaborative, in-person work environment and the ability to maintain a consistent 5-day office presence.
