About the position:

We are seeking a highly organized, proactive, and detail-oriented Executive Assistant to support senior leadership. The Executive Assistant will play a critical role in managing day-to-day administrative functions, facilitating communication, and enabling executive efficiency through thoughtful planning and discretion. This is a hybrid work environment with a minimum of two days in the office, and the option of a third day, as needed.

Administrative Support

  • Manage and maintain calendars for 4 executives as needed
  • Manage travel arrangements for 4 executives, including flights, hotels, ground transportation, and expense reporting
  • Prepare meeting agendas, presentations, and supporting materials
  • Coordinate logistics for internal and external meetings, including hosting Microsoft Teams or Go-To-Webinar meetings or venue booking and catering
  • Assist with PowerPoint presentations and Excel documents as needed

Project Management & Coordination

  • Assist with tracking project deliverables and deadlines on behalf of the executive
  • Follow up with internal teams to ensure timely completion of tasks and deliverables
  • Maintain confidential material related to employees and company operations

Communication

  • Draft correspondence, reports, and executive summaries as needed
  • Act as a liaison between the executive and internal teams, clients, partners, and other stakeholders
  • Support internal communication by preparing updates, memos, and briefings

Other Projects

  • Support event planning and coordinate offsite meetings
  • Support the Global Leadership Summit planning team to execute twice yearly Executive Management meetings. Research meeting logistics including location and rates, prepare initial budget, suggest menu and restaurant selections for multi-day event
  • Prepare weekly forecast charts from data from internal systems
  • Other Corporate projects as needed

Qualifications

  • Bachelor’s degree or equivalent work experience
  • 5+ years of administrative experience supporting senior executives
  • Exceptional organizational and multitasking abilities
  • Strong verbal and written communication skills
  • High proficiency in Microsoft Office Suite, Google Workspace, and calendar management tools
  • Discretion and confidentiality are a must
  • Self-starter with a proactive attitude and problem-solving mindset
  • Ability to work outside of normal business hours when needed
  • Ability to infrequently travel depending on business needs
