A fast‑growing Life Sciences startup in Waltham is seeking a highly organized, proactive, and resourceful Executive Assistant to support several executives during a period of rapid expansion. This role is ideal for someone who thrives in a dynamic, mission‑driven environment and enjoys building structure, improving processes, and serving as a trusted partner to executives.

About the Role

The Executive Assistant will provide high‑level administrative and operational support to company leaders, ensuring smooth day‑to‑day operations and enabling the team to focus on strategic priorities. This is a minimum 6‑month contract with a strong possibility of converting to a full‑time permanent position based on performance and business needs.

Key Responsibilities

• Manage complex calendars, schedule meetings, and coordinate internal and external engagements

• Serve as a primary point of contact for executives, handling communications with professionalism and discretion

• Prepare meeting materials, presentations, agendas, and follow‑up documentation

• Coordinate domestic and occasional international travel, including itineraries and logistics

• Support onboarding activities and cross‑functional coordination as the company scales

• Assist with special projects, operational initiatives, and process improvements

• Maintain organized systems for documentation, expenses, and administrative workflows

• Partner closely with internal teams to ensure alignment and smooth execution of priorities

Qualifications

• 8-10 yrs+ years of Executive Assistant or senior administrative support experience, ideally within Life Sciences, biotech, healthcare, or a fast‑paced startup environment

• Exceptional organizational skills with the ability to manage multiple priorities and deadlines

• Strong written and verbal communication skills

• High level of professionalism, confidentiality, and emotional intelligence

• Proficiency with Microsoft Office Suite, Google Workspace, and collaboration tools

• Comfortable working in a fast‑moving, evolving environment where adaptability is key
