Job Description
Our client, a financial firm in the real estate sector, is searching for an Executive Assistant for their Wakefield office. This role will provide high-level, personalized support to the Managing Director. The ideal candidate is an experienced, client-focused, entrepreneurial-minded, executive assistant that thrives in a fast-paced environment. This person will play a key role in the growth and success of the business and will have high level visibility across the firm.
Note that this is a hybrid position with 3 days in-office a week and access to a car is required. Traditional office hours, with flexibility to be available as needed when urgent issues arise outside of business hours.
Responsibilities:
- Provide comprehensive support to a top producing Managing Director, to streamline his workflow so he can focus on clients, investors, and core business priorities.
- Coordinate executive’s daily calendar, including booking meetings, arranging travel, and making adjustments quickly, when needed.
- Manage the executive’s inbox, flagging priorities and proactively setting meetings when appropriate.
- Plan and execute internal and external meetings, including team building activities, happy hours, client dinners, and networking events.
- Communicate with stakeholders on behalf of the executive, acting as an extension of his business.
- Assist with general office support as needed, including ordering supplies, setting up for on-site meetings, and taking on ad-hoc requests.
Requirements:
- 3+ years of administrative support in a client service-oriented environment.
- High proficiency in Microsoft Office Suite
- Access to a car and ability to drive is required.
- Strong knowledge of the city’s dining and event scene to support seamless meeting and event planning a huge plus!
- Proven ability to proactively manage dynamic needs and priorities
- A team-oriented mindset couple with strong relationship building skills
