Position Summary

The Client Relations Coordinator supports business development and client service through calendar management, appointment setting, event coordination, and administrative tasks. The position involves engaging with prospective clients from seminars and marketing events, maintaining detailed records, assisting with client onboarding, and ensuring a smooth, professional client experience from initial contact through follow-up.


Key Responsibilities

• Call, schedule, and follow up with prospective clients from seminars and marketing events

• Record detailed notes from all prospect interactions in the CRM for tracking and reference

• Accurately input and maintain client data to ensure organized communication

• Assist in preparing and facilitating a positive client experience for meetings and visits

• Greet and direct clients in a professional and welcoming manner

• Process applications, rollover paperwork, transfer forms, and related administrative tasks

• Track and manage applications throughout the underwriting process

• Organize, attend, and support prospective client events and seminars

• Conduct post-event follow-up with attendees and schedule advisor appointments

Requirements:Must-Have Qualifications

Industry Experience & Skills

• 1–3 years of sales and administrative experience

• Ability to motivate prospects to schedule and attend appointments

• Strong prioritization and time management skills

• Results-driven mindset with consistent follow-through

Education:

• High school diploma or GED required, higher education a plus

Technology Expertise:

• CRM knowledge is a plus

• Microsoft Office Suite (Word, Excel, Outlook) with high attention to detail and accuracy

• Excellent verbal and written communication skills across email and phone


Physical & Work Environment Requirements

• Ability to work for extended periods at a desk using a computer.

• Ability to lift up to 10 pounds if/when necessary.

• Routine use of telephone and email.

Office-based role with potential travel to conferences, events, and satellite offices as needed
