Office & Marketing Manager

Location: Springfield, MA metro area

Part time position (28 hours per week)


Meadows Staffing Group has partnered with a well-established and growing professional services organization in Western Massachusetts and is seeking an experienced and highly organized Office & Marketing Manager to join its team. This is a key position within the organization, supporting leadership while overseeing accounting, office administration, human resources support, marketing coordination, and client-facing administrative functions.

Position Overview:

  • Ability to research, investigate and think outside the box to solve problems and troubleshoot issues.
  • Provide efficient, professional and discreet human resources administrative services to the company, dealing with various sensitive topics and situations throughout the company.
  • Highly organized, committed, self-motivated, works independently and as part of a team. Works well under the pressure of deadlines. Able to adapt to any situation while maintaining professionalism.
  • Proficient in QuickBooks – Initiate customer invoices, document, track, reconcile accounts receivables and payables, maintain accurate employee and customer files.
  • Experience with procurement and vendor management systems preferred.
  • Prepare client contracts for projects and related project documentation.
  • Coordinate administrative documentation and project support materials.
  • Maintain accurate bank accounts, including deposits, transfers and monthly reconciliations for multiple company bank accounts.
  • Efficiently execute and maintain bi-weekly payroll and expense reports for staff members.
  • Liaison for insurance and benefits needs and requirements for the company.
  • Coordinate purchasing activities, inventory management, and vendor relationships.
