Job Title: Experienced Office Administrator / Bookkeeper (Roofing / Construction) Location: On-Site Hours: Part-Time (approx. 20–25 hrs/week, flexible daytime hours) Pay: $24.00 – $30.00/hour (based on trades & bookkeeping experience)
About the Role: We are an active, growing roofing company whose owner and crews work full-time out in the field. We need a seasoned office professional who can step in, take full ownership of the front office, and build an organized system from scratch. If you have run an office for a contractor or trade business before and know how to keep billing, proposals, and phone calls moving without someone looking over your shoulder, this role is built for you.
Key Responsibilities:
- Take charge of office workflow: Set up clean filing systems (physical and digital) for customer job files, permits, warranties, and supplier receipts.
- Invoicing & Billing: Generate and send invoices promptly, track accounts receivable, follow up on outstanding balances, and collect customer payments.
- Customer Proposals: Format, send, and track estimates and contracts so leads don't sit waiting.
- Phone & Dispatch: Serve as the professional voice of the company—answer client calls, screen incoming leads, and coordinate estimator site visits.
- Basic Bookkeeping & Payroll: Reconcile vendor receipts, manage basic QuickBooks entries, and collect weekly crew hours for payroll.
Qualifications:
- 2+ years of hands-on office administration or bookkeeping experience, ideally in roofing, construction, or trade contracting.
- Proficiency with QuickBooks and standard office tools (spreadsheets, email, file storage).
- Independent problem-solver: comfortable entering a disorganized space and implementing practical systems that work.
- Strong, professional phone manner and clear client communication.
- Reliable, self-directed, and trustworthy.
