Beauport Hospitality Group is seeking a detail-oriented and motivated Accounting Coordinator. The Accounting Coordinator provides crucial support across our portfolio of properties, working with the Controller on a wide range of accounting, bookkeeping, and payroll functions.
Essential Functions
- Manage day-to-day bookkeeping tasks within our accounting software platforms (M3 Accounting Core, QuickBooks), including processing accounts payable (AP) and accounts receivable (AR).
- Reconcile daily deposits, credit card transactions, and bank accounts, including daily restaurant sales and event payments, completing all appropriate reporting.
- Work closely with the Hospitality Operations, Events, and Restaurant management teams to ensure accurate posting and tracking of client deposits, payments, and daily revenue.
- Assist with month-end close processes, journal entries, and account reconciliations.
- Handle client and guest billing inquiries and credit card disputes efficiently and professionally.
- Maintain an organized and secure system for all financial files and records.
- Administration of bi-weekly payroll processing using our designated payroll system.
- Maintain the time clock system, including adding/removing employees, monitoring rates, and ensuring data accuracy.
- Serve as a point of contact for payroll-related questions and work with the payroll system provider to resolve any issues.
- Process manual checks as needed for terminations or adjustments.
- Uphold strict confidentiality with all payrolls, bookkeeping and employee information.
- Provide support for a variety of accounting projects and procedures as directed by the Controller.
- Complete additional responsibilities as assigned by Management.
- Proficiency in QuickBooks is required. Experience with other hospitality accounting software, such as M3 Accounting Core, and additional Accounting software is highly preferred.
- Minimum of 2-3 years of experience in an accounting, bookkeeping, or related role.
- Strong understanding of accounting principles, bookkeeping, and payroll processing.
- High proficiency in Microsoft Office Suite, particularly Excel.
- Familiarity with Point of Sale (POS) and Event Management systems.
- Exceptional attention to detail and accuracy.
- Proven ability to handle sensitive information with the utmost confidentiality.
- Excellent organizational and time-management skills, with the ability to prioritize tasks in a fast-paced environment.
- Strong verbal and written communication skills.
- Experience in the hospitality, restaurant, or event industry is a plus.
- Experience with payroll systems (e.g., Paylocity) is preferred.
- Ability to work a flexible schedule, which may include weekends based on business needs.
- Must be a motivated, adaptable, and professional team player.
- Work is based primarily in an office setting but may require presence throughout the properties.
