We are looking for a highly organized, customer-focused Administrative Coordinator to join our growing team.
Position Overview
The Administrative Coordinator is the central communication hub for customers, installers, and dealership partners. This role manages scheduling, service intake, warranty coordination, quoting, job finalization, and logistics for trailers and loaner vehicles. The ideal candidate thrives in a fast-paced environment, maintains exceptional attention to detail, and delivers a premium customer experience.
Key Responsibilities
Customer Communication & Scheduling
- Serve as the primary contact for customer inquiries via phone, text, and email.
- Provide accurate information regarding services, pricing, and appointment availability.
- Collect all required vehicle/job details and schedule work based on installer skill set and availability.
Warranty Management
- Handle all warranty inquiries, including out-of-state claims.
- Coordinate service with customers and partner shops to ensure a smooth, high-quality experience.
Trailer, Loaner, & Dealer Logistics
- Coordinate trailer drop-offs and pick-ups between both shop locations.
- Manage the loaner vehicle program, including scheduling swaps and handling transportation when needed.
- Inspect vehicles, document any damage or defects, and communicate updates to dealership partners.
Quoting, Invoicing & Job Completion
- Prepare and send customer quotes, including insurance-based la carte pricing.
- Finalize completed jobs, generate invoices, and send billing to customers.
Qualifications
- Strong communication and customer service skills.
- Ability to multitask and prioritize in a high-volume, fast-paced environment.
- Highly organized, proactive, and comfortable working under tight deadlines.
- Valid drivers license (required for logistics and loaner vehicle management).
Preferred Experience
- Experience in automotive service, dealership operations, logistics, dispatch, or service coordination.
- Experience in luxury or high-end customer service environments.
