Job Summary:
We’re looking for a highly organized and detail-oriented Senior Administrative Assistant to support three Vice Presidents within the US Commercial team. This role plays a key part in managing calendars, coordinating complex meetings and travel, and supporting key initiatives for leadership across Planning, Marketing, and Market Access.
Responsibilities:
- Provide high-level administrative support to three VPs, managing calendars, meetings, and confidential communication
- Coordinate domestic and international travel and process expense reports using Concur
- Plan and execute internal and external meetings and events, including venue sourcing, AV setup, catering, and guest logistics
- Prepare agendas, pre-read materials, meeting minutes, and PowerPoint presentations
- Collaborate with other executive assistants and internal teams to align on meeting logistics and timelines
- Support purchase orders, invoices, and vendor management via SAP
- Draft professional correspondence and assist with project coordination and special initiatives
Qualifications:
- 5+ years of experience supporting senior management, ideally multiple executives
- Proficient in Microsoft Office (Outlook, Teams, Word, Excel, PowerPoint), with strong scheduling and document preparation skills
- Hands-on experience with Concur, SAP, and event planning logistics
