The Part-Time Receptionist works closely with the Director of Legal and Office Support, Office Services, and Hospitality to welcome clients and guests upon arrival. This role provides a warm, professional, and seamless front-office experience for everyone visiting, meeting, or passing through the reception area. Responsibilities include assisting with conference room scheduling, maintaining the client reception area, and serving as backup support for ordering food and beverages for meetings. The Receptionist builds positive relationships with attorneys, staff, clients, and guests while maintaining strict confidentiality regarding client and firm matters.

Job Summary:
\n
\n
· Welcomes clients and guests by name upon arrival and directs them appropriately. Ensures guests are comfortable, hangs coats in the coat closet, escorts guests to the appropriate conference room when meetings are already underway, and offers refreshments when guests are waiting. Promptly notifies the appropriate Firm representative.
\n
\n
· Directs incoming calls to the appropriate attorneys, staff, or voicemail system.
\n
\n
· Assists with coordinating conference room schedules and meeting logistics. Ensures conference rooms are clean, neat, properly prepared before meetings, and reset promptly afterward for the next meeting. Confirms catering arrangements are accurate and complete before each meeting.

· Generates conference room reports for Office Services each evening and on the day of meetings, identifying audiovisual and catering setup needs for upcoming and current meetings. Confirms audiovisual and food requests with meeting organizers the day before each meeting and notifies the IT Department when audiovisual support is needed.

\n
· Maintains a neat, orderly, and welcoming reception area, ensuring the reception desk remains clear of clutter, posted notes, and personal items at all times.
\n
\n
· Maintains the Daily Attendance Sheet and electronic firm calendars. During emergency evacuations, reports all unaccounted-for employees to the Floor Warden.

Position Requirements:

\n
· Excellent verbal and written communication skills, including strong grammar, proofreading, and interpersonal skills.

\n

- Strong proficiency in Microsoft Office (Outlook, Word, TEAMS, Excel)
\n
\n
\n
· Strong client service orientation and the ability to provide a welcoming, attentive, and professional experience.
\n
\n
· Professional, polished demeanor and appearance, with a positive and proactive attitude.

\n
· Demonstrated reliability, dependability, and flexibility with scheduling when business needs require.
\n
\n
· Ability to exercise sound judgment, maintain composure, and manage competing priorities while interacting professionally with clients, guests, attorneys, and staff.

Schedule:
\n
\n
This is a part-time position with a regular schedule of 12:00pm – 5:30pm, M-F. Flexibility may be required to provide coverage for meetings, events, employee absences, or other office needs.

The base salary range provided below reflects our good faith estimate of the expected starting compensation for this role at the time of posting. The final compensation offered to a selected candidate will be determined based on job-related, non-discriminatory factors, including a candidate’s experience, qualifications, education, external market data, and internal equity considerations. In addition to base salary, employees receive other variable compensation based on their role and individual performance. $55,000 – $60,000
