Administrative Assistant- Advancement Operations
Boston, MA (Onsite)
$21.43 – $25.00 per hour
Full-Time | 35 hours/week | 1st Shift
6-month temporary assignment
About the Role
We are seeking a detail-oriented and proactive Administrative Assistant, Advancement Operations to support the Office of University Advancement. This role is critical to daily operations and serves as the first point of contact for internal and external constituents. This position is 100% onsite in Boston, MA.
Schedule
- Monday–Friday
- Preferred: 9:00 AM – 5:00 PM
- Flexible option: 8:30 AM – 4:30 PM
Key Responsibilities
- Serve as front-line customer service by greeting visitors, handling inquiries, and answering/directing phone calls
- Provide budgetary support, including monthly reconciliations for ~27 operating accounts
- Process invoices and payments; manage vendor accounts
- Partner with Advancement teams to track event budgets and ensure timely payments
- Manage and track the division’s contract submission process, including coordination with internal gatekeepers and the Office of General Counsel
- Provide general administrative support such as calendar management and scheduling
- Work closely with event leads, finance directors, and campus partners
- Proactively identify and implement improvements and projects with minimal supervision
Required Qualifications
- Associate’s degree required; Bachelor’s degree preferred
- 1–3 years of experience in an office or customer service environment
- Strong organizational, communication (written & verbal), and interpersonal skills
- Excellent attention to detail and time management skills
- Comfortable working in a fast-paced environment
- Professional, positive, and customer-service oriented
- Ability to interact confidently and diplomatically with donors, faculty/staff, vendors, and visitors
- Self-starter who can work independently with minimal supervision
