Responsible for supporting the Facility Managerâs efforts in the day to day implementation of policies, procedures and programs to ensure a well maintained, well managed campus, placing maximum emphasis on positive response to the concerns and needs of the client.
ESSENTIAL DUTIES AND RESPONSIBILITIES
Support the Senior Facility Manager (SFM) in the day-to day operational management of all aspects of the property to assure maintenance of approved quality standards.
Assist the SFM in the preparation and coordination of all maintenance programs relating to interior and exterior conditions and appearance of the properties.
Support the S FM and facility team to maintain and comply with all current and future certifications such as LEED, ISO 14001 and NHDES.
Coordinate and oversees repair and maintenance projects with vendors and contractors.
Support the SFM to assure full compliance with standards established within the Service Agreement.
Participate in the selection of contract services, vendor negotiation of service agreements.
Oversee day to day vendor performance to assure full compliance with standards established within the Service Agreement.
Work with staff in the planning and organizing of moves, construction and events.
Coordinate with staff to ensure timely completion of work order requests.
Assist and support the SFM on the day to day financial management of the property and maintenance of financial records and files, as needed. Take lead with the preparation of the budget, financial reviews and monthly management reports.
Responsible for the positive and prompt response to requests from building tenant and clients. Continue ongoing communications with the site occupants to ensure needs are being met.
Plan direct and coordinate through staff of supervisory and lead personnel and contractors, activities concerned with the operation, repair, maintenance, care and upkeep of facilities, equipment, buildings and grounds to minimize business interruption and improve efficiencies.
Enforce operating rules, regulations, procedures, including safety requirements within the assigned portfolio.
Implement the buildings operating budgets to include both in-house expense and subcontractor expense.
Inspect facilities and/or review inspection reports to determine repairs, replacements or service improvements required.
Prepare and approve purchase requisitions for projects, building and maintenance supplies, machinery, equipment and furniture.
Ensure on site staff confirms to all local laws, codes and regulations.
Utilize and maintain a work order system, analyzing data to identify trends and anomalies.
Additional duties as assigned.
Provides formal supervision to individual employees within single functional or operational area. Recommends staff recruitment, selection, promotion, advancement, corrective action and termination. Plans and monitors appropriate staffing levels and utilization of labor, including overtime. Prepares and delivers performance appraisal for staff. Mentors and coaches team members to further develop competencies. Leads by example and models behaviors that are consistent with the company's values.

EDUCATION and EXPERIENCE
High school diploma or general education degree (GED) required. Minimum of four years of related experience and/or training. Associates degree or Bachelors degree preferred with focus on business, technical or management areas. Prior supervisory experience preferred.
CERTIFICATES and/or LICENSES
Facility Management certification preferred. Driver's license may be required.
Ability to comprehend, analyze, and interpret complex business documents. Ability to write reports, manuals, speeches and articles using distinctive style. Ability to effectively respond to sensitive issues, complex inquiries or complaints from clients, co-workers, supervisor, and/or management. . Ability to motivate employees and client groups to take desired action.
Requires in-depth knowledge of financial terms and principles. Assists in the preparation and management of the annual operations budget.
Ability to solve problems and deal with a variety of options in varying situations. Requires intermediate analytical and quantitative skills.
OTHER SKILLS and/or ABILITIES
Must have an excellent customer service approach to property owners and tenants. Must be able to work effectively with vendors, contractors and employees. Intermediate Microsoft Office Suite.
